Discuss a handoff

Collection, treatment and client records

Documents and open items in one handoff.

We assemble your approved exports and files into a checklist for the next colleague. It shows what is available, which version to use and what still needs a document or review.

We agree scope, fee, delivery date and acceptance checks before starting.

  • One record group
  • Files and review status
  • Checklist and update process

Fictional example · all data and files are invented

Mentioned in an email. Missing from the files.

The collection summary is present. The treatment record is only mentioned. Neither tells us that treatment or the required review is complete.

Next decisions

  1. Assign the documentation reviewer.
  2. Supply or clarify the treatment record and its version.
  3. Record the team’s review and sign-off.
  4. Confirm the requested internal review date.

Your responsible team defines the required records and confirms operational status, compliance and final acceptance. We assemble the documentation; we do not approve the underlying work.

The handoff

A checklist with file versions and review status.

01

You send

Approved exports and files for one record group. Your team defines which records the receiving colleague needs and which decisions require review.

02

We return

One handoff checklist: available files, versions, links to the originals and items awaiting a document or decision. It keeps missing files separate from pending reviews.

03

Your team checks

Compare the agreed records with the checklist. We correct omissions and hand over a rule for updating filenames, versions and confirmed decisions.

Before you accept

Check three things.

  • Missing and unreviewed are different

A file stays missing until supplied. Its review status stays open until the responsible team confirms it.

  • Versions and decisions can be traced

Each entry links to the file or confirmed decision used. Later changes are recorded.

  • The next colleague can use it

The receiving team compares the checklist with the agreed records and assigns unresolved items. We correct omissions before handover.
